BOOKING GUIDELINES
Reservation for Group Tour Bookings (Scheduled Land Trips)
- > All slots are on a first- come, first – served basis. Registered participants will be required to have a 50% down payment of the total amount to be paid. Remaining balance should be settled at least 7 days before the scheduled departure. Failure to comply with the payment procedure would mean cancellation of the reservation.
- > Confirmed reservations are strictly non refundable but is considered transferable to the third party designated by the client otherwise the participant's group will be responsible for the payment of his/her balance.
- > The company, A Whole New World Travel Express, has the right to cancel any tour that does not reach the required minimum number of participants (at least 12 pax per van). You may opt to reschedule your reservation to any group tours that we have or we may offer a full refund.
- > All deposits and payments should be scanned and emailed to us as soon as possible. After receiving and confirming your deposit, please expect your Tour Voucher with reference number to us. The reference number would signify your confirmed reservation/ booking with us, please do not forget to bring a valid ID as you present your Voucher to the assigned Tour Coordinator/Driver
- > All trip/ tour details and itinerary may be altered or canceled due to hazardous conditions, uncontrollable circumstances or any fortuitous event which may arise. We always put your safety first. In the event that a tour gets cancelled due to these reasons, we may offer a full refund. Please send us your bank details and we will make the deposit as soon as possible.
- > Please be at the pickup point on or before the designated time. An allowance of only 30 minutes will be given for late comers. The company has the right to depart without waiting for other participants. In this event, no refunds will be given for registered participants that do not come in time.
- No show on your booking dates will render the voucher forfeited.
- > A Whole New World Travel Express, its employees, representatives, and tour guides shall not be responsible and liable for any accident, loss, injury, and damage to property in connection with any accommodation, transportation or other services resulting directly or indirectly from any occurrence or defects of vehicles, breakdown of equipment, acts of God, strikes, civil disturbances, theft, delay or cancellation or change in the itinerary.
- > A Whole New World Travel Express reserves the right to terminate servicing any participant who in its opinion is prejudicing the harmony of the tour group by being abusive and disruptive, a burden to the group or for any reason by his/her conduct hinders the successful operation of the tour and affects the other guests as well as the employees.
Reservation for Airline Tickets and Resort Vouchers
- First, you have to ask if the promo is still available for the travel dates you requested. Make sure you fill up the reservation form so we can contact you with regards to the availability of your preferred travel date.
- Promos are NON REBOOKABLE, NON TRANSFERABLE, NON REFUNDABLE so make sure of all the information you submit are correct.
- After our confirmation, rates that were given is only within 24 hours. If payment has not been made, please try to ask a quote again if it is still available or if the rate is still the same. Note: We cannot hold the promos. Airline promos last only for 2 days and it is on a FIRST COME FIRST SERVE basis.
- Reservation is 60% downpayment in our BDO Corporate Account to guarantee the reservations of your slots. Balance must be paid not later than 5 days after making a reservations.
- Information of your flight details will be informed before you make a payment. If agreed, we will book you on the flight that you agreed upon. (lasts only for 24 hrs) No downpayment, no reservation.
- Vouchers will be sent upon receipt of partial payment, then E-tickets will be released upon full payment or vice versa.
- Please inform us if you deposited your payment in our bank account and the amount you deposited, if possible, scan and e-mail/fax it to us.
Reservation for Hotel/ Resort Accommodations
- Resort Voucher is transferable as long as booking has not yet been made.
- Rates are always subject to Hotel Room Availability
- Infants (below 2 years old) are free of Accommodation and Tour charge
- Reservations shall only be confirmed upon deposit/payment of the total amount due. Deposits for confirmed reservations are NON-REFUNDABLE.
- NO-SHOW due to fortuitous events including, but not limited to, typhoons, earthquakes, floods, and other natural calamities, may be endorsed for reinstatement of reservation (subject to availability of rooms).
- Reservation that lapsed the due date payment shall be deemed cancelled.
STANDARD TERMS AND CONDITIONS
RATES
Rates are fixed at the time of booking and generally will not be subject to any surcharges, unless otherwise stated. The only exception will be an increase in our costs arising as the result of any government action including but not limited to, new or increased taxes.
We reserve the right to change our rates at any time before you book including any special rates that we may offer from time to time, which may not be the same as those published on our website. Please note that ALL RATES are determined based on the actual time of travel, and NOT the booking date. In some cases, posted rates may expire or become invalid after the booking date and before the actual date of travel. In this case, we will confirm and charge the new rate that will be in effect at the time of travel.
RECEIPT OF PAYMENT
Upon receipt of payment, you will receive the following, (1) an A Whole New World Travel Express Voucher, (2) a detailed trip itinerary, and (3) Airline tickets (as required) depending on the type of service you availed
CHANGES BY YOU
If you wish to change your Hotel/Resort Booking with A Whole New World Travel Express in any way and we can accept the change, we reserve the right to charge Php 300.00 or more per person, per amendment provided that your instructions are provided in writing, and are received at least 30 days prior to your scheduled departure.
However, if you wish to cancel a flight, there will be no refund. If you change your booking, a surcharge will apply and be based on the Terms & Conditions of the Airline plus the Terms & Conditions of A Whole New World Travel Express.
IF YOU CANCEL YOUR BOOKING
You or any member of your party may cancel all or part of your Travel at any time, proved that the cancellation is made in writing to us by the person who made the original booking. You will receive a refund of the amount paid (excluding any amendment charge, admin charge and cancellation charge based on Terms & Conditions of Hotel, Airline and A Whole New World Travel Express).
IF WE AMEND YOUR BOOKING
In the event that changes may become necessary, we reserve the right to make at any time. Most of these changes are minor and we will advise you at the earliest possible date. Flight times and carriers set out in publicity material are subject to change and all details given to you are for guidance only.
Confirmed dates will be as shown on your itinerary and air tickets. Should a material change become necessary, we will inform you as soon as reasonably possible. You may decide whether or not to accept the change, however you must accept or reject the proposed change in writing within 48 hours of notification, otherwise we will assume that you have accepted the proposed change.
A material change is one made to your travel arrangements before departure, involving change of departure or arrival airport (other than between airports within the same city airport system) outward or return flights being re-scheduled by more than 12 hours, or by substitution of accommodation originally booked with one of a lower grade. If we alter the airline, aircraft type operating your flight or routing, this is not considered a material change and we will be under no obligation to notify you of such change in advance.
Special note:
If your Tour Package includes international or domestic air tickets and A Whole New World Travel Express acts as an agent for the airline or flight consolidator then the airline or flight consolidators’ cancellation or amendment charges plus any incidental charges shall apply.
DOCUMENTATION
Where travel and health documents are necessary to comply with the requirements of the Philippines you may wish to visit, then it is YOUR RESPONSIBILITY to procure them. If failure to obtain any such documents results in fines, surcharges or any other financial penalty being imposed upon us, then you agree to reimburse us accordingly. You must ascertain by consulting your own doctor, if necessary the specific precautions deemed prudent for the country or destination you intend to visit and to ensure that the appropriate medication, inoculations or other precautions are taken.
CONDITIONS OF CARRIAGE & ACCOMMODATIONS
We are neither a carrier nor a provider of accommodations. Each journey (whether undertaken or not) that you book by land, sea or air is governed by the conditions of the carrier undertaking to provide that carriage. Some of these conditions limit or exclude liability and are often the subject of international agreements. Copies of the applicable agreements are available for inspection at the offices of the carrier concerned.
It is your responsibility to reconfirm the onward or return sectors of any air journey with the carrier concerned or such carrier’s duly authorized Travel agents and according to such carrier’s regulations. When you book accommodations (whether provided or not) its availability or provision is subject to the ‘house rules’ of the hotel or other accommodation providing or undertaking to provide such accommodations.
ACCOMMODATIONS
As we do not control the day-to-day management of your accommodations, it is possible that we may be advised that the reserved accommodation may not be suitable or available upon your arrival. If this happens, we will aim to provide accommodation of at least the same standard, in the same geographic area. If only accommodation of a lower standard is available, then we will refund the difference of the advertised price between the accommodations booked.
Important Notice: We are not responsible for changes which arise as a result of events outside of our control, such as technical or maintenance problems with transportation, changes imposed by re-scheduling or cancellation of flights by an airline, or main charter company, war or threat of war, civil strife, industrial disputes, natural disasters, bad weather or terrorist activity.
TERMINATION
We reserve the right in our absolute discretion to terminate your Travel without notice should your behavior be such that it is likely in our opinion, to cause distress, damage, annoyance or danger to any other person. In such circumstances, no refund or compensation will be due to you.
UNUSED SERVICES
No refund will be due to you in respect to the nonutilization of any part of the Travel & Tour arrangements made for you, by A Whole New World Travel Express.
INSURANCE
It is a condition of the agreement between us, that you personally take out adequate travel insurance against cancellation charges, unexpected curtailment of your vacation, medical expenses arising overseas including repatriation, loss or damage to luggage and personal liability claims against you.
Should you fail to secure such Philippines Travel Insurance coverage prior to your Philippines Travel, then you accept full responsibility for yourself and all of the members of your party, and indemnify A Whole New World Travel Express and our overseas Philippines Travel agents and representatives (as applicable) for any and all costs that may arise,which would otherwise have been met, had such Philippines travel insurance been in force.
